Kyle Castle · Coastal Trust Business Advisors

Bookkeeping · monthly service · cleanup · for trade business owners

The books shouldn't be your second job.

You didn't go into business to reconcile accounts at 10 p.m. I'm Kyle Castle, and I handle the books for HVAC, landscaping, painting, and trade owners — cleaned up, reconciled every month, and always ready for taxes, a lender, or your next decision. You run the business. I'll run the numbers.

Sound familiar?

The problem you can see

The books are always behind

Bank feeds full of "Uncategorized." Months nobody reconciled. Receipts in the truck. The books only get touched when someone (like the tax preparer) forces it.

The problem you feel

"Can I even trust these numbers?"

The P&L says one thing, the bank account says another. You're making hiring, pricing, and equipment decisions on numbers you're not sure are true.

What we believe

Your time belongs on the jobs

Every hour you spend on the books is an hour you didn't bill. Bookkeeping isn't your job — it's a system that should run without you, handled by someone who knows what owners like you need from it.

How it works — three simple steps

Free 30-minute call. We look at where your books stand today and what it would take to get them where they need to be.

Hand me the numbers, your way

Once you're a client, you get your own secure online portal (powered by Intuit) — statements, receipts, and accountant access to your QuickBooks all go in one place. No passwords in texts, no shoebox handoffs.

Get clean, current books every month

Accounts reconciled, transactions categorized right, and a plain-English summary of what the numbers are telling you — so every month is tax-ready and decision-ready. No year-end scramble.

Your guide, not your babysitter

I'm Kyle Castle, a QuickBooks Online ProAdvisor and the owner of Coastal Trust Business Advisors. Before I did this work, I spent 13 years on the lending and banking side of small business — reviewing financials and approving, or declining, the loans behind companies like yours. I've seen exactly what messy books cost an owner, and exactly what clean ones unlock.

I work with HVAC, landscaping, painting, plumbing, and other trade business owners — owners whose books are messier than a W-2 employee's and who deserve a bookkeeper who already speaks the language: job costing, equipment, crew classification, and seasonal cash flow.

You're the expert at your trade. My job is to make sure the back office never becomes the reason a good business struggles. I bring the map — you drive the business.

Where this ends up

With a guide

Books you can actually use

  • Reconciled, current books every month — not a year-end archaeology project
  • Tax-ready without the February fire drill
  • Financials a bank, buyer, or CPA takes seriously
  • You can finally see which jobs and crews make money
  • Your nights and Sundays back

Going it alone

The DIY treadmill keeps costing you

  • A big cleanup bill every spring, for the same avoidable mess
  • Missed deductions — money you earned, quietly given away
  • Decisions made on gut feel because the numbers can't be trusted
  • Financials that won't hold up when you need a loan or a buyer
  • Hours in QuickBooks instead of on the truck

Questions owners ask me

What does monthly bookkeeping cost?

Depends on your volume — transaction count, accounts, crews. The first call is free, and you'll get a clear flat monthly quote before any work starts. No hourly surprises.

My books are a mess. Can you even fix them?

Yes — honestly, that's most first calls. Cleanup is part of the work, not a reason to judge. Bring me the shoebox; I've seen worse.

What do you need from me each month?

Minutes, not hours. Documents go into your secure portal, bank and card feeds do the heavy lifting, and I handle the rest. You'll get a short, plain-English summary of what happened and what it means.

Do I have to leave my current bookkeeper or accountant?

No. Some clients have me handle everything monthly; others keep their tax preparer and hand them clean books at year-end. We'll figure out the split that serves you.

Is the first call really free?

Really free, really 30 minutes. We'll look at where your books stand and I'll tell you plainly whether I can help and what it would cost. If I'm not the right fit, I'll tell you that too.
