Make QuickBooks do the work.

Most owners got QuickBooks "set up" in an afternoon and have been fighting it ever since. I'm Kyle Castle, a QuickBooks Online ProAdvisor — I set it up right, clean up the messes, and keep it running, so the numbers you see are numbers you can trust. You build the business. QuickBooks works for you.

Sound familiar?

The problem you can see

Set up wrong from day one

A chart of accounts nobody designed, feeds connected twice, duplicates everywhere. QuickBooks runs — but it's not running for your business.

The problem you feel

You're doing data entry, not bookkeeping

Feeds nobody reviews, categories you'd never defend, a "net income" you can't explain. You're feeding the software instead of reading what it's telling you.

What we believe

The software should work for you

Set up right, QuickBooks Online mostly runs itself — rules that categorize, reports you can read at a glance, and a file your tax preparer and banker respect. It just needs someone who knows how it's built.

How it works — three simple steps

Click "Start Here" and pick a time

Free 30-minute call. We'll talk about where your QuickBooks stands and what "right" looks like for a business like yours.

Get connected the right way

Once you're a client, everything runs through your own secure online portal (powered by Intuit) — documents and accountant access to your file in one place. No shared passwords, no risky logins.

Watch QuickBooks start doing its job

Cleanup where it's needed, rules that categorize on their own, accounts reconciled monthly, and reports in plain English — so the software finally gives back more than it takes.

Your guide, not your babysitter

I'm Kyle Castle, a QuickBooks Online ProAdvisor and the owner of Coastal Trust Business Advisors. Before I did this work, I spent 13 years on the lending and banking side of small business — reviewing financials and approving, or declining, the loans behind companies like yours. I know what lenders want to see in QuickBooks, because I used to be the one looking.

I work with HVAC, landscaping, painting, plumbing, and other trade business owners — owners who need QuickBooks to reflect how the work actually flows: job costing, materials, equipment, crews, and seasonal cash flow.

You're the expert at your trade. My job is to make sure the software never becomes the reason a good business struggles. I bring the map — you drive the business.

Where this ends up

With a guide

A QuickBooks that earns its keep

  • Rules that categorize transactions on autopilot
  • A P&L that actually matches the bank account
  • Job, material, and crew costs you can see — not guess
  • Reconciled monthly, so year-end costs nothing extra
  • Reports your CPA and your banker take seriously

Going it alone

The mess compounds every month

  • Miscategorized transactions quietly distorting every decision
  • Duplicate entries and feeds nobody reconciles
  • A cleanup bill every spring — for the same avoidable mess
  • Reports nobody trusts, so nobody uses them
  • Hours inside QuickBooks instead of on the truck

Questions owners ask me

Are you a QuickBooks ProAdvisor?

Yes — I'm a QuickBooks Online ProAdvisor, and QBO is what I work in every day with owners like you. It's the tool, but the setup behind it is what makes the numbers mean something.

My QuickBooks file is a mess. Can it be saved?

Almost always. We start with a look at what's actually in there, then a cleanup plan: what gets fixed, what it costs, and how long it takes. Badly neglected files are welcome — that's the job.

I'm not even on QuickBooks yet. Can you set it up?

Yes — and you're lucky. Setup from day one is far cheaper than a cleanup after two years of guesswork. We'll build it around how your business actually makes money.

Do you take over my file, or work with my current bookkeeper?

Either. I come in as your accountant through proper access — your file stays yours, and you can see everything I do. Plenty of clients keep their tax preparer; I make sure they get clean numbers.

What does this cost?

The first call is free. Cleanup is quoted as its own flat project; ongoing monthly management is a flat fee. You'll know both numbers before any work starts — no hourly surprises.
